Presenter Information Packet

Congratulations on being selected to present at the 2018 Families Learning Conference! Below you’ll find information regarding important deadlines, A/V, and session format.


Important deadlines

May 7, 2018: Lead presenters must confirm their participation in the 2018 Families Learning Conference at

May 15, 2018: Lead presenters must be registered for the 2018 Families Learning Conference and order additional (optional) A/V items using Lead Presenter Registration form.

July 30, 2018: Deadline for any changes to session presenter or co-presenter. All changes must be emailed to Any changes after July 30 will not be reflected in the printed program but will be reflected in the mobile app. Sessions and presenters will be ready to review by June 30, 2018 at

September 1, 2018extended to Friday, September 7: Deadline to submit session materials for inclusion in the mobile app. An email will be sent in Summer 2018 to lead presenters with upload instructions.


A/V Information

The following is the Standard A/V package provided at no charge:

  • Theater style setup
  • Screen
  • Speaker podium with microphone
  • LCD video projector with cart & sound patch
  • Standard-sized HDMI cable dongle to connect to the projector via HDMI (preferred) or VGA
  • Wireless internet connection

What you should bring:

  • Your laptop (see rental information below if you do not have a laptop)
  • If you are using a Mac or a PC that uses mini DisplayPort or USB-C (aka Thunderbolt) for audio/video out, be sure to bring your mini DisplayPort or USB-C to HDMI/VGA adapter.
  • Handouts, if you have them

Additional A/V equipment available for rent:
Additional A/V equipment must be requested in advance using the Lead Presenter Registration form. Prices increase significantly if you wait to order equipment on site.

Session Format Information

Standard 75-minute concurrent sessions
These sessions are set in theater-style seating with a podium and screen at the front. Presenters should arrive 15 minutes before their scheduled session to set up their laptop at the podium.

Poster sessions
Multiple tables will be set up in one room and presenters will be given a specific time to “host” their tables, share information, and respond to questions. Attendees move from table to table as they wish. Presenters should stay near their tables throughout the duration of their designated time, but their materials will be displayed throughout the entire day.

Ed Talk sessions
These sessions are along the lines of “TED Talks.” Three presenters share a 75-minute session. Each session will have a facilitator who will introduce each speaker, act as time keeper, and conduct a 15-minute Q&A session with the audience at the end.

For your convenience, we’ve developed a Powerpoint template for presenters. While use of this template is optional, it promotes a cohesive look throughout the Families Learning Conference.



Shipping to Conference

We advise packing presentation materials in your luggage; however, you can ship directly to the FedEx store located at the hotel if needed. Please go to the FedEx website for more information.


Onsite Information

Check in at Registration during the following hours:

  • Sunday, Sept. 23 from 10:00 AM to 8:00 PM
  • Monday, Sept. 24 from 6:30 AM to 5:00 PM
  • Tuesday, Sept. 25 from 7:00 AM to 6:00 PM


Hotel self parking is $35 daily and valet is $41.34 daily.
