Please note: Tables are not placed in an exhibit hall but rather in the main Conference thoroughfare. Traditional backwall and sidewall draping is not provided by the Families Learning Conference. Exhibitors need to bring the backdrop or display they require.

Additional staff

The exhibitor fee of $750 includes one complimentary 3-day registration. Additional staff members are required to register and wear an NCFL-issued Conference name badge at all times. Several registration options are available:

Exhibit Dates and Times

Please see move-in, open, and move-out hours below. During off hours, you may attend sessions or use this time to make private appointments with attendees.

Exhibitor Move-in: Sunday, Oct. 18 – 2:00 p.m. – 5:00 p.m.

Exhibits Open:
Monday, Oct. 19:
7:30 a.m. – 8:15 a.m. (coffee in exhibit area)
9:30 a.m. – 10:30 a.m. (post-Opening session)
12:00 p.m. – 2:00 p.m. (attendee lunch break)

Tuesday, Oct. 20:
7:30 a.m. – 8:15 a.m. (coffee in exhibit area)
9:30 a.m. – 10:30 a.m. (post-General session)
12:00 p.m. – 2:00 p.m. (attendee lunch break)
5:30 p.m. – 6:30 p.m. (pre-Banquet Celebration)

Wednesday, Oct. 21:
7:30 a.m. – 8:15 a.m. (coffee in exhibit area)

Exhibitor Move-out: Wednesday, Oct. 21 – 8:15 a.m. – 11:30 a.m.


Shipping to the Conference

Advanced, offsite storage is not provided. All packages should be shipped to the Renaissance Dallas Addison per the instructions below.

As storage space is limited, the hotel cannot accept deliveries made to the hotel more than three days prior to the Families Learning Conference event start of Oct. 19.

The hotel is to be advised of all incoming deliveries by calling (972) 789-3039.

All large deliveries in excess of 150 pounds are to be inside deliveries made to the point of usage by persons making the delivery. Such deliveries should be arranged with Patrick Burkey, hotel conference planning manager, by contacting patrick.burkey@renaissancesales.com, (972) 789-3039.

Inbound Charges:
Envelopes, no charge
1-4 boxes, no charge
5 or more boxes, $10.00 per box
Pallet shipments, $250.00 per pallet

Outbound shipping:
Boxes being shipped out from the hotel need to be sealed and labeled. Any boxes left unattended will not be the responsibility of the hotel. Shipper is responsible to schedule pick up with shipment service provider.

Outbound Charges:
1-4 boxes, no charge
5 or more boxes, $8.00 per box
Pallet shipments, $150.00 per pallet

Exhibit Floorplan

Exhibit tables will be located on the second floor of the hotel, in the Crystal Ballroom Foyer. Exhibitors will be notified of their table location prior to the start of the Conference.


Payment Information

Exhibitor payment is due within 30 days of registering online. If exhibitor selects to pay by check or purchase order, the exhibit table is not secured until a signed check or purchase order has been received by NCFL.

Cancellation Policy

A full refund is issued if exhibitor cancels by Monday, July 6, 2020.
From Tuesday, July 7 to Tuesday, Aug. 18, exhibitors receive 50% refund for cancellation.
From Wednesday, August 19 onward, exhibitors receive 0% refund for cancellation.
