Review presentation details

Room setup: to be confirmed this fall

A/V equipment included:

  • Screen and projector
  • Podium with microphone
  • Speakers and sound patch
  • Cables to connect to PCs only (Mac connector available upon request prior to the event)
  • Free WiFi in meeting rooms

What you need to bring/prepare:

  • Laptop (if you need to rent one from conference organizers, contact us at conference@familieslearning.org)
  • Mac users: USB-C Digital AV Multiport Adapter to connect the HDMI display or TV to a Thunderbolt / USB 4 port (if you need to rent one from conference organizers, contact us at conference@familieslearning.org)
  • Any printed materials for your presentation
  • Download any videos or files you plan to show during your presentation to your laptop. Meeting rooms will have free WiFi, but streaming a video could cause lag/buffering issues.

Interpretation:

We will be offering interpretation of select presentations based on attendee demand and available resources. Your session may be interpreted using Wordly AI. We will notify presenters of selected sessions in October.

Speaker Ready Room

Onsite at the Sheraton/Le Meridien, NCFL will offer a meeting room during conference hours to test your laptop with the hotel’s equipment.

A staff member will be in the room during select hours on Sunday, Monday, and Tuesday to answer questions you may have. Precise hours and room name to be confirmed this fall.

Build an accessible presentation

NCFL strives to ensure that all attendees have the opportunity to fully engage in the conference. As you build your presentation, consider using the following resources and tips to help ensure your presentation and digital materials are accessible:

Font selection:

When it comes to fonts in presentations, make sure to select a sans-serif type. Using simple fonts, such as Arial, Helvetica, Roboto, or Calibri, can make the information presented more accessible and easier for attendees to read.

  • In Docs and Slides, click the “Tools” menu and select “Accessibility.”

Microsoft Office

  • In Word and Powerpoint, click the “Check Accessibility” button in the “Review” section of the software navigation bar.

Adobe Acrobat Pro

  • Follow these instructions for creating accessible PDFs. Note, these instructions are for the Pro version of Acrobat, not Adobe Reader.

Best Practices

  • Review Oxfam’s Inclusive Language Guide.
  • Read aloud any charts or graphs used in your presentation. Describe the images that contain information pertinent to your presentation and are not being used for pure decoration.
  • Avoid looking back at projected materials; instead, have a computer screen in front of you to glance at so that your voice projects and your lips can be read by lip readers.
  • Make sure that videos are captioned and audio described. Sometimes it is good to give a brief description of what is in the video before it is played. This will help audience members establish context for what they will hear.
  • Ensure the question-and-answer period is accessible. Repeat attendees’ questions so everyone can hear them.

Share your presentation materials with attendees

Attendees always ask us for presenters’ slides and handouts! If you consent, please upload your presentation materials following these steps:

  • Lead presenters (who submitted their proposal to present) may log in to the Presentation Portal.
  • Navigate to the Submitted Proposal(s) page.
  • In the row with your accepted presentation, click Edit next to the tasks for uploading materials.
  • If you have trouble accessing the portal, please send materials to conference@familieslearning.org.

Share the conference with your network

Help NCFL heighten awareness of and drive registration for the Families Learning Conference. To make it easier for you share the conference with your network, we’ve put together some promotional materials for you.
